MyButler AI (“we”, “us”, “our”) operates the website mybutler.ai and provides AI-powered document conversion services. This Privacy Policy explains how we collect, use, store, and protect your personal information when you use our services.

1. Information We Collect

Account Information

When you register, we collect your name, email address, and password (hashed). If you sign in via Google OAuth, we receive your name, email, and Google account identifier.

Uploaded Documents

When you upload a PDF for processing, we store the file and its extracted content (OCR text, layout data) on our secure cloud infrastructure. We do not read, review, or share the contents of your documents.

Usage Data

We track page processing counts, feature usage, and service interactions to enforce plan limits and improve our service.

Payment Information

Payment processing is handled entirely by Stripe. We do not store your credit card number, CVV, or full card details. Stripe provides us with a truncated card reference and billing status.

Cookies and Tracking

We use cookies as described in our Cookie Policy. You can manage your cookie preferences via the consent banner displayed on your first visit.

2. How We Use Your Information

  • To provide and operate the document conversion service
  • To process your PDF files through our AI-powered OCR pipeline
  • To manage your account, plan, and billing
  • To send transactional emails (verification, password reset, retention notices)
  • To enforce usage limits and plan features
  • To improve service quality and fix issues

3. How We Store and Protect Your Data

Your uploaded documents and processed outputs are stored on DigitalOcean Spaces, a secure cloud storage platform with encryption at rest. Access to stored files is restricted to your authenticated account.

Passwords are hashed using WordPress’s built-in password hashing (bcrypt). OAuth tokens for cloud integrations are encrypted with AES-256-CBC before storage.

4. Data Retention

We retain your processed documents based on your subscription plan:

  • Free: 90 days
  • Starter: 365 days
  • Pro: 730 days
  • Business: Indefinite (until you delete them)

After the retention period, job data (uploaded files, OCR text, rendered output) is automatically deleted.

Sensitive Mode

Pro and Business users can enable Sensitive Mode for individual jobs. This triggers immediate and permanent deletion of all associated data (uploaded file, processed pages, rendered cache, exported documents) from our servers and cloud storage upon download.

5. Third-Party Services

We use the following third-party services that may process your data:

  • OpenAI — Powers our OCR engine. Page images are sent to OpenAI’s API for text extraction. OpenAI’s data usage policy applies to this processing.
  • Stripe — Handles payment processing. Subject to Stripe’s Privacy Policy.
  • Google — If you use Google sign-in or Google Drive integration. Subject to Google’s Privacy Policy.
  • Dropbox — If you use Dropbox cloud integration (Pro+ plans).
  • Microsoft — If you use OneDrive cloud integration (Pro+ plans).
  • DigitalOcean — Cloud infrastructure and file storage.

6. Your Rights

You have the right to:

  • Access your personal data — available via your Privacy Dashboard
  • Export your data — request a full data export from your Privacy Dashboard
  • Delete your account and all associated data — available via your Privacy Dashboard
  • Withdraw consent for optional data processing (e.g., marketing emails, analytics cookies)

7. International Data Transfers

Your data may be processed in jurisdictions outside your country of residence, including the United States (OpenAI, Stripe) and the EU/US (DigitalOcean). We ensure appropriate safeguards are in place for such transfers.

8. Children’s Privacy

Our service is not intended for children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us with personal data, contact us and we will promptly delete it.

9. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify registered users of material changes via email. The “Last updated” date at the top indicates when the policy was last revised.
